Purpose

This document explains how the Lancaster West Residents’ Association (LWRA) uses the personal data it collects for the purpose of carrying out its functions as a residents’ association.

The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

  • Demographic information such as address and postcode

  • Email

  • Mobile phone number

 

Why we collect and use this information

The information we collect from you (described above) may be used in one of the following ways:

  • Internal record keeping

  • To send periodic emails (e.g., newsletters mostly and occasional ad hoc newsletters in relation to issues on the estate).

  • To inform you of upcoming events (via the newsletter, WhatsApp, or text message)

  • To inform you of any cancellations to events (via the newsletter, WhatsApp, or text message)

  • To respond to inquiries in relation to content or issues in our newsletters

  • To invite you to General Meetings

  • We may use the information to customise the website according to your interests.

 The email address you provide may be used to send you information, respond to inquiries, and/or other requests or questions relating to LWRA and associated issues around the estate.

We may share this information with Mailchimp who run our mailing list (you may see their Privacy Policy here) and Text Local and Text Marketer who provide our text service (their respective Privacy Policies are here and here).

Storing this information

Personal information records may be paper-based or on computer.  Paper-based records are stored under lock and key and computer records are password protected.

We hold data for up to six years, depending on its importance and having regard to the Statute of Limitations (the Limitation Act 1980).  However, minutes of our meetings containing details of attendance and matters discussed with our members will be retained in perpetuity or until it is considered that they are no longer required for record purposes or on grounds of historical value.

How we use cookies

A cookie is a small file which asks permission to be placed on your computer’s hard drive. We will not sell, distribute or lease your personal information to third parties unless we are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
